We are seeking an Operations & Finance Specialist to support and coordinate our business operations across finance, people, and operational functions. This is a dynamic, generalist role perfect for someone who enjoys variety, problem-solving, and building systems from the ground up in a fast-paced startup environment.
You will be a key partner to leadership, ensuring smooth operations across all business functions. This role requires strong organizational skills, attention to detail, and the ability to juggle multiple priorities while maintaining a remote-first mindset.
• Manage invoice processing, expense tracking, reimbursements, and vendor payments.
• Support fundraising activities and prepare materials for investor reporting.
• Coordinate with external accountants, bookkeepers, and financial advisors.
• Coordinate recruitment processes including job postings, candidate communication, and interview scheduling.
• Manage comprehensive onboarding and offboarding workflows for new hires and departures.
• Support employee engagement initiatives and help foster company culture in a remote environment.
• Maintain HR documentation, employee records, and compliance materials, and coordinate benefits administration.
• Manage relationships with vendors and contractors across various functions.
• Document and optimize internal processes to improve efficiency.
• Oversee tools and software management, including licenses and access.
• Support contract management and ensure compliance with agreements.
• Coordinate cross-functional projects and initiatives and maintain company knowledge base.
• Serve as a point of contact for employee questions and operational concerns.
• 2-4 years of experience in operations, finance, HR, or related business functions.
• Strong organizational and project management skills with ability to prioritize effectively.
• Experience with invoice management, expense tracking, and basic accounting principles.
• Excellent written and verbal communication skills.
• Self-starter who thrives in a remote work environment with minimal supervision.
• Detail-oriented with strong analytical and problem-solving abilities.
• Proficiency with standard business tools (Google Workspace, Slack, project management software).
• Comfortable with ambiguity and able to create structure where needed.
• Experience in startup or high-growth technology companies.
• Familiarity with the AI/SaaS industry and technical concepts.
• Background in finance, HR, or operations management.
• Experience managing remote team operations and distributed workflows.
• Knowledge of international contractor and vendor management.
• Exposure to fundraising processes or investor relations.
• Experience with process automation and workflow optimization.
